Hours: Monday-Friday, 8:30 AM - 5:00PM
Compensation: $26-$30/hour


About the Role

Ultimate Staffing is partnering with a professional services client to identify a reliable and adaptable Administrative Assistant to support daily office operations and client service. This role is critical to keeping the organization running smoothly and will serve as a key point of contact for clients, leadership, and internal team members.

This is a hands-on role ideal for someone comfortable wearing multiple hats in a small office environment and contributing wherever needed. The position offers strong growth potential and exposure to operational processes, systems implementation, and administrative support functions.


Key Responsibilities

  • Serve as the first point of contact for clients via phone, email, and in person, delivering a professional and welcoming experience
  • Manage scheduling and calendar coordination for leadership and internal team members
  • Handle document scanning, filing, and record maintenance, ensuring accuracy and organization
  • Support administrative aspects of ongoing operational and reporting processes
  • Assist with basic bookkeeping tasks, data entry, and filing of returns (no calculations required)
  • Provide support during seasonal reporting periods, including document preparation and coordination
  • Assist with audits and compliance-related documentation
  • Support the implementation of a new CRM, learning and adapting to new systems and workflows
  • Help with marketing outreach, including a monthly newsletter and light administrative marketing tasks
  • Use Google Sheets and internal work management tools for data tracking and workflow support
  • Collaborate with internal and external resources to ensure deadlines and processes are met

Qualifications

  • Prior experience in administrative support, office coordination, or client-facing roles
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Comfortable working with scheduling systems, databases, and new software tools
  • High attention to detail and accuracy in documentation and data entry
  • Professional communication skills, both written and verbal
  • Self-directed and resourceful; able to work independently without constant oversight
  • Team-oriented mindset with a positive, proactive attitude

Experience in professional services, accounting, or operations environments is a plus but not required.
